Privacy note

This is written in plain English rather than legal language. If anything here isn't clear, or you'd like to know exactly what I hold about you, just email me and I'll tell you.
Who I am
The Quiet Ground Tai Chi (Dani Hayes), ABN 39 919 367 842. For anything privacy-related, contact me at dani@thequietgroundtaichi.com.au.
What I collect
- When you book a class: your name, email address, confirmation of payment from the booking platform, and your agreement to the class policies.
- Before you attend: a short health declaration, including anything you choose to tell me about injuries or health conditions, and an emergency contact name and phone number.
- When you join the waitlist: your name, email address, and the time you signed up.
- When you use the student portal: your invited email address, basic account security information, and your access to course materials.
- When I manage your customer profile: your contact and enrolment details, communication preferences, goals you share with me, and private teaching or safety notes relevant to supporting you.
Why I collect it
- To manage your booking and payment.
- To run classes safely — the health declaration and emergency contact exist purely so I can look after you in class.
- To contact you about the classes you've booked or asked about: confirmations, reminders, changes, and waitlist offers.
- To provide secure access to student practice materials and protect them from unauthorised access.
- To keep an accurate record of your enrolment, learning goals and preferences so I can support your training.
Health information
Health information is treated as sensitive. It is seen only by me, is used only for class safety, and is never included in emails, in spreadsheets that get shared, or anywhere public.
Service providers
Bookings and payments are processed by Stripe, which handles your payment details under its own privacy policy. Student sign-in, portal account information and the private customer administration system are securely managed using Supabase, and this website is hosted by Netlify. I never see or store your complete card details.
Website visits
I use Cloudflare Web Analytics to see roughly how many people visit this website and which pages they look at. It doesn't use cookies, it doesn't track you across other websites, and it doesn't collect anything that identifies you personally — I only ever see totals, never individuals.
What I don't do
I don't sell your details, and I don't pass them to anyone else for marketing. Joining the waitlist or booking a class does not automatically subscribe you to newsletters. I only record newsletter consent when you choose to opt in, and you can withdraw that consent at any time.
How long I keep things
- Waitlist details: kept while the waitlist is active, then deleted within 12 months of your last contact with me.
- Booking records: kept for 5 years for tax and accounting purposes, in line with standard ATO record-keeping requirements.
- Health declarations and emergency contacts: kept securely for 7 years after your last class, then destroyed.
- Student portal accounts: kept while you have access to a course and deleted when the account is no longer needed, unless a record must be retained for legal or accounting purposes.
- Customer profiles and teaching notes: kept while you are a current or prospective student and reviewed when they are no longer needed, subject to any legal or safety record-keeping requirement.
Your choices
You can ask me at any time to show you what I hold about you, correct it, or delete it. I may need to keep basic payment records for tax purposes, but everything else can go. Just email dani@thequietgroundtaichi.com.au and I'll sort it out.
